Dealing with a lost locker key

LOST LOCKER KEYS, (this applies to short loan locker keys and postgraduate locker keys)

Lost Locker keys are invoiced for the replacement charge of £20 each

Late returned keys are charges at £1 an hour up to a maximum of £15.

OD1 - 1day overdue (There is no 2nd or 3rd overdue for locker keys)

OD2 is INVOICE - 3 days overdue (2 Days after previous OD)

Maximum overdue charge for late return is £15

The Borrower has 2 options at this stage.

a. Return the key. An overdue charge is payable (£1 immediate charge, then £l per hour up to maximum of £15).

b. Pay the invoice charge if lost (£20). . If the key is lost the borrower should pay the invoice charge.

Take a print out of the borrower loan list as procedure for a lost book

If the borrower is paying by card – note the TXN receipt number on the print out. Pass the print out to Rosie so that she knows to replace the missing key. Locker Assistant should pass to Locker Supervisor to delete the loan from the loan record and edit the note to show it is lost and paid.

If a reader reports that they have lost a key on loan to them, even though it may not be overdue yet, advise them to wait until the system invoice is produced (this happens quickly for lost keys -just 3 days overdue), and to be absolutely sure it is lost before they pay for it, as refunds are not guaranteed if the key later turns up. In the unlikely event that they still want to pay before the invoice is generated, proceed as for lost book instructions. Leave print out and receipt number on Locker Supervisor's desk to edit the record to show missing /lost and paid and will order a new key.
