A guide for training new staff and Student Aides in the Law Library, and a refresher for old!

Law Library Key Collection

Student Aides and Library Assistants providing cover:

If you are opening up, or taking over from the Law Library staff at 5pm, you will need to collect the Law Library keys from the Welcome Desk at the Philip Robinson Library at the start of your shift.

The Law Library keys consist of:

  • Key to the Law Library Office door.
  • Key to operate the shutter.

You MUST lock the Law Library Office door whenever you leave the office. Please also display one of the notices to indicate if you are unavailable or can be located to answer a question.

In the Student Aide file, you will find a badge and a lanyard. Please wear both of these while you are working to identify yourself as staff.

You will need to keep your smartcard with you at all times. You will need this to open the Law Library door throughout your shift (the Law Library is smartcard entry only during evenings and weekends). The smartcard on the lanyard is inactive and will not open any doors.

Please return the keys to the Welcome Desk at the Philip Robinson Library at the end of the evening, or pass them onto the next shift worker if the library is still open.

Opening the Office

If you are first in the Library:

  • Turn on all the lights at both the main light switch panel and locally (see section on Law Library Lights).
  • Open the security shutter with the key on hook to the left of the Help Desk window.
  • Switch on Help Desk PC and printer.
  • Log in to Alma (see Student Aides’ File for instructions).
  • Log in to Library Help (generic Law Library ID available from Student Aides’ File).
  • Sign into Library Chat (Instructions in the Student Aides' File) and inform PRL/MRLR staff that you are on duty.
  • Click on P.V. Supa Goodstuff2 icon to open the RFID Action Window.
  • Change date stamps to one day forward (refer to Alma when issuing books to ensure they are correct).
    • Date Stamps are generally set to:
      • Short Loan – 2 days ahead
      • Overnight loan – Tomorrow’s date
      • ILL – 12 weeks ahead
      • Discharge (small black stamp) – Today’s date
  • 15 minutes after opening, empty and lock bookbin in foyer (key ‘00’), return any books using Alma, discharge stamp and reshelve.

Closing the Library

Preparing for Closure:

As the Law Library clears, tidy all chairs and ensure desk lamps are switched off (at the lamp itself, not the plug).

30 minutes before Closing:

  • Warn any readers that the Library will be closing in 30 minutes.

15 minutes before Closing:

  • Close and lock any open windows.
  • Close blinds in Office.
  • Unlock the metal ‘out of hours’ bookbin’s top section (located beneath the entrance stairs; key 00).
  • Log off Alma, close down and switch off the Help Desk PC.
  • Ensure all plugs in Office are switched off, except for those marked.
  • Lower the security shutter using the key provided (this is located on the hook to the left of the Help Desk window).
  • Lock the Library Office door.
  • Ask readers to start packing up/get ready to leave, as library will lock down in 10/15 minutes.

 

Closing up:

  • Prepare for closure (see above).
  • Ensure everyone is out of the library.
    • If people do not leave when it's time to close, please contact the Coordinator at the Philip Robinson Library.
  • Switch off all lights (both local switches and lastly the ones on the main panel - see Law Library Lights).
  • A Porter or Security will come across to ensure the Law School's ground floor is clear. They will then will set the building alarm and lock the building.
  • Return the key to the Welcome Desk at the Philip Robinson Library.

Help Desk Shutter

You will need to open the Law Library shutter at the start of the day on weekends and Bank Holidays.

You will also need to close the shutter at the end of your shift.

You can operate the shutter using the key on the outside of the Law Library Office (to the right of the Help Desk if looking in from the outside).

You need to hold the key in place until the shutter is fully open/shut. It is quite noisy and takes a few seconds.

Bookbins

External Bookbin:

This is located outside the Law Library, in the foyer, under the stairs. It is primarily for out-of-hours use and should be:

  • locked in the mornings (15 minutes after opening),
  • opened in the evenings (15 minutes before closing).

Self-Service Unit:

There are two bookbin slots next to the Self-Service unit, one yellow and one black. 

When books are returned via the Self-Service unit, users are directed to place their book in one of these slots:

  • Yellow slot returns that can be reshelved (no further action required).
  • Black slot is for Short Loans, Reservations, Items for other libraries (further action required). 

Returning Books in the Library Office:

  • Please 'return' all items via the Library Help Desk PC (using Alma and the RFID system).
